This Privacy Policy explains how BWT LLC ("we," "us," or "our") collects, uses, discloses, and safeguards information in connection with Lawton.rent, which we use to market and manage rental properties in Southwest Oklahoma.

We collect and retain only the information necessary to conduct business. We do not retain payment card or bank account details; all payments are processed and stored directly by Stripe.

1) Information We Collect

  • Payment information you provide: your name, email address, phone number, the property address, and what the payment is for. Card and bank account numbers are collected by Stripe, not by us (see section 7).
  • Rental application information you provide: legal name, date of birth, contact details, marital status, Social Security or ITIN number, driver's license number, estimated credit score, gross monthly income, employment history (employer, position, phone, dates), rental history (address, landlord, landlord phone, rent, dates), current address, occupants under 18 and their ages, pets, emergency contact, and any eviction history or additional information you choose to share. The same categories are collected for a co-applicant, if you name one.
  • Technical information: IP address, device and browser information, pages visited, and timestamps, collected to maintain site performance and security. Limited cookies or similar technologies may be used for functionality and security.

We do not run a contact form. If you email or call us, we hold that correspondence in the ordinary course of business.

2) How We Use Information

  • Respond to inquiries and schedule viewings.
  • Process rental applications, including background and credit checks, and manage leasing operations.
  • Take and reconcile rent, deposit, and application fee payments, and administer automatic monthly payments.
  • Communicate about availability, policies, maintenance, or service updates.
  • Protect our site, prevent fraud, and comply with legal obligations.
  • Improve website performance and user experience.

We do not use your information for advertising, and we do not sell it.

3) Parties to Whom We Disclose Information

  • Within BWT LLC to personnel involved in property management and customer service on a need-to-know basis.
  • Service providers that help operate our business (e.g., hosting, email delivery, application processing tools, and Stripe for payments). Providers receive only what they need and must protect it.
  • Legal & safety disclosures when required by law, regulation, subpoena, court order, or to protect rights, property, or safety.

We do not sell or rent your personal information.

4) Method of Disclosure

When disclosure is necessary, we use secure transmission and least-privilege access. Disclosures are limited to the stated purpose, and service providers are bound by confidentiality and appropriate security measures.

5) Data Retention

We retain personal information only for as long as needed to fulfill the purposes described above or as required by law. When no longer necessary, we securely delete, de-identify, or archive information per our retention practices.

6) Security Practices

  • Encryption in transit (HTTPS/SSL) and secure hosting.
  • Social Security or ITIN numbers and driver's license numbers submitted with an application are encrypted at rest with a key held separately from the database. In our back office they are masked by default and can only be revealed by an authenticated administrator, one record at a time.
  • The back office is protected by a password and a signed, expiring session, and repeated failed sign-in attempts are rate-limited.
  • Access controls and employee/agent training on handling personal information.
  • Logging and monitoring to detect and respond to suspicious activity.
  • Vendor due diligence and contractual security obligations for service providers.

7) Third-Party Services (Payments via Stripe)

Payments made through Lawton.rent are processed by Stripe. The payment fields you type into on our Pay, Apply, and AutoPay pages are served and controlled by Stripe and embedded into our pages. Your card number or bank account details go directly from your browser to Stripe. They do not pass through our servers, and we never receive or store them.

Loading those fields means your browser requests resources from Stripe (js.stripe.com), so Stripe receives your IP address and standard browser information, and may set cookies for fraud prevention. Stripe acts as an independent data controller for that activity.

If you set up AutoPay, Stripe stores your payment method so it can be charged each month; we hold only a reference to it. The Manage AutoPay link opens Stripe's own billing portal, where you can update your payment method, view invoices, or cancel.

We retain a transaction record: name, email, phone, property address, what the payment was for, the amount, the fee, the method (card or bank), the status, and Stripe's confirmation reference.

8) Phone and Text Messaging

Our published number, (580) 289-8700, is a voice line only. We do not send SMS or text messages, and we do not operate a text-message marketing program.

We do not share mobile phone numbers with third parties or affiliates for marketing or promotional purposes.

Stripe may send you a payment receipt by email at the address you provide when you pay.

9) Your Rights & Choices

You may request access to, correction of, or deletion of your personal information, subject to legal limitations. To make a request, contact us using the details below. We will verify your request and respond as required by applicable law.

10) Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective" date above reflects the latest revision. Continued use of the site after changes are posted signifies acceptance of the updated policy.
